You can perform a variety of tasks in the Administrative tab of the patient chart, including generating a password for NextGen® Office Patient Portal access, viewing patient documents, printing portions of the patient record, and viewing the patient's care plan and amendments.
Perform Administrative Tasks in Patient Charts
- In NextGen Office EHR, from the EHR Dashboard, select a patient chart.
- Select the Administrative tab.
- Do any of the following:
- In the Notes section, enter relevant patient information.
- Review patient demographic information and A/R balances.
- To create a printable PDF of the patient’s allergies, immunizations, problems, and medications, select Quick Print.
- To create a PDF with all information documented in the patient's chart, including encounter notes, select Print Wizard.
- To create a C-CDA file, select C-CDA.
- To import a C-CDA file, select Import from File.
Enable NextGen Office Patient Portal Accounts
You can enable NextGen Office Patient Portal account from the Administrative tab. For detailed instructions, refer to the Enable NextGen Office Patient Portal Access in NextGen Office EHR section in Enable NextGen Office Patient Portal Access.
Manage Documents
When a document is added to a patient's chart, these patient documents appear on the Administrative tab. To filter the documents that appear in the Documents pane, select from the document list (defaults to All Documents).
- To display all documents tied to the patient’s chart, select the Administrative tab. The Documents button is selected by default.
- In the Documents pane, do any of the following:
- To transmit the patient health record (PHR) to an SFTP host, select PHR Options.
- To electronically sign and and timestamp a document on each page, stating that you have reviewed the document, select Review & Stamp.
- To fax the document, select Send Fax. Note: You can select more than file.
- To direct message the document, select Send Message. Note: You can select more than file.
- To mark the document as reviewed, select Reviewed.
- To indicate that the document is clinically significant, select Clinically Sig. A yellow star appears next to the document and the document appears in the patient chart on the Longitudinal Record tab under Clinically Significant Documents.
- To modify all document upload options, select Edit.
- To remove the document from the chart, select Delete.
- To download the document to your computer, select Download.
Manage the Provider History and Patient Comments
You can view the provider history and patient comments in the Provider History pane on the Administrative tab.
- To display provider history and patient comments, select Providers on the Administrative tab.
The Provider History pane displays the encounter history for each provider.
- Optional: In the Patient Comments section, add, edit, or delete patient comments.
Manage the Patient's Care Team
You can add and manage members to the patient's care team.
- To add a patient, provider, or guarantor to the patient's care team, select Add to Care Team and search for the individual.
- Search for and select the appropriate provider, patient or guarantor.
- Select the team member's title and relationship.
- Optional: Enter the team member's phone number and comments.
- Select Add.
Amend a Patient Chart
You can amend the records added to a patient chart from the Administrative tab. To manage amendment requests that patients send from their NextGen Office Patient Portal accounts, refer to the Providers Manage Amendment Requests in NextGen Office EHR section in Send Documents or URLs from NextGen Office Patient Portal to NextGen Office EHR.
The following functions are available in the Amendments pane:
- History: Shows the history of the amendment.
- Accept: Accepts the changes made to the amendment.
- Deny: Denies the changes made to the amendment.
- Edit: Enables you to modify the amendment.
- Delete: Removes the amendment from the chart.
- Download: Downloads the amended document to your computer.
- From the Administrative tab, in the Amendments pane, select New Amendment.
- From Amendment Source, select either Patient or Other.
- From Amendment Status select Pending, Accepted, or Denied.
- From Amendment Type, select either Document or URL.
- Select Browse to find the file to be uploaded.
- Select from the Document Type list.
- Type the document name and select the document date.
- Select Save.
The amendment request is complete.
