This article provides a high-level overview of the NextGen® Office Patient Portal and its features. The standard Patient Portal meets MIPS requirements for providers.
Requirements
Subscribe to the standard or premium Patient Portal. Contact your Sales representative to subscribe.
Login Page
On the login page, patients can:
- Activate their account
- Log in to their account with a username and password or a verification code
- Request their username or a password reset
- Open the NextGen Office YouTube channel (click Instructional Videos)
To view the portal in another language, patients select a language from the Google Translate menu on the bottom right of the page. Google Translate is on every page.
Home Page
The home page contains a set of navigation tiles that link to the most frequently used portal tools.
- If the practice subscribes to the premium Patient Portal, the home page contains, at the most, the following tiles:
- View Current Charges: Displays the current balance due.
- Schedule an Appointment
- Appointment Check-in: Displays the next appointment that the patient can check in for.
- Request a Medication Refill
- Review Medical Record
- Message a Provider: Shows how many unread messages the patient has.
- Contact Us
- If the practice subscribes to the standard Patient Portal, the home page only contains the last three tiles (Review Medical Record, Message a Provider, and Contact Us).
- Above the tiles you can add a Patient Portal Announcement.
- In the header, patients click Account Settings to update the account's password, email address, or security question.
- If a patient is a proxy for another patient, they select that patient in the Patient Chart menu.
Example: Amelie is a proxy for Camille and can select Camille's name to view her account and perform actions such as request appointments, request medication refills, and message her provider.
Header
The header on every page after the home page is the same.
- YourHealthFile logo (or your practice's logo if you set up co-branding): Opens the home page.
- Print Page: Prints the current page.
- Log Out: Logs the patient out of the Patient Portal.
- Appointment Check-in Process: Providers can customize their check-in process.
Note: Only shows in the header if the check-in process is incomplete.
Navigation Menu
The patient's name appears above the navigation menu. Some menu items have submenu items (Patient Account, Patient Appointments, Documents, and Review Medical Record).
Patient Account
Submenu Name | Description |

Current Charges | Patients view their current balance. Includes the same level of detail as the paper statement. |
Statement History | Patients view statements sent by the practice. |
Payment History | Patients view their payment history. |
Patient Credit Cards | Shows saved credit cards. Patients can add credit cards. |
Patient Information | Patients view and edit their patient information, contact information, emergency contact information, employment information, primary care physician, preferred pharmacy, care team, and family members who are in the practice. |
Patient Insurance | Patients view and edit their insurance information. |
Account Settings | Patients update their email address, security question, or password. |
Additional Account Access | Patients view and grant additional access to their portal account. |
Audit Log | Maintains a log of the account’s online activity. |
Send My Record | Patients send their medical records to email addresses. |
Patient Appointments
- Upcoming Appointments: Patients view their upcoming appointments and check in for their current appointment.
- Request Appointment: Patients request a nonemergency appointment.
- Request e-Visit: Patients request a nonemergency e-visit (telehealth visit).
Documents
Patient Documents: Patients view documents shared by the provider.
Health Maintenance
This menu contains tabs for health maintenance and health logs.
- Health Maintenance: Based on the patient's current data in EHR. Patients view their Health Maintenance measure status on the portal (for example, high blood pressure control – overdue).
- Health Logs: Patients enter data (for example, glucose) into a flow sheet to track progress. Flow sheets are found in EHR. Note: Requires a flow sheet to be enabled for portal access.
Review Medical Record
Submenu Name | Description |
---|
Patient Summary | Patients download a copy of their medical record in C-CDA format. The patient summary automatically updates when information is added in the EHR. Patients use the Amend My Record feature to share health information-related documents and URLs with their providers. |
Allergies | Patients can view their allergies and associated symptoms. Patients can add an allergy that is not already in EHR. |
Growth Chart (pediatric patients only) | Parents view their child's height/length, weight, head circumference, and BMI data from Vital Signs in EHR. Parents can generate a growth chart. |
Immunizations | Patients view their immunizations, add an immunization that is not already in the EHR, and download a copy their record. |
Medical History | Patients view and update their medical history (conditions and diagnoses they have had during their lifetime). Some providers use Problem List in EHR for active conditions. |
Medications | Patients view and update the medications that they are currently taking. Patients request prescription refills. |
Office Visits | Patients view signed encounter notes and export to PDF. |
Test Results | Patients view the orders (lab, radiology, consults, and office tests) and results that the provider has made available to them. |
Problem List | Patients view their active health issues recorded in EHR. |
Social History | Patients view their tobacco and alcohol consumption history. Patients can also view their active tobacco, alcohol, and illicit drug use during pregnancy. Patients can update this information. |
Message a Provider
Patients communicate with their providers using the secure messaging system. They can use the Amend My Record feature to share health information-related documents and URLs with their providers.
Contact Us
Practices provide their locations and contact information, including a map and a link to get directions.
