Patients request e-visit appointments from the YourHealthFile® Patient Portal. You can manage these e-visit appointment requests on the Patient Appointment Requests page. Patient Portal appointment request links appear at the top of the page.
Note: The same Patient Portal appointment requests appear at the top of the Calendar (day, week, and month views) and Day End Review pages.
Navigate to Patient Appointment Requests
From the menu bar, hover over Schedule and select Patient Appointment Requests.
Schedule a Requested E-visit
In our example, we are scheduling a patient who requested a first available appointment with date range and time range.
The e-visit request appears as open portal appointment requests. E-visit requests that are scheduled for a specific date and time appear as a pending portal appointment request.
- Under Status, click Open.
Note: After the appointment is scheduled, the Status changes to Scheduled.
- Review the Appointment Request Details.
You can see the Appointment Request details that the patient selected in the Patient Portal on the top right side of the screen.
Note: Preferred Method is how the patient prefers to communicate during the e-visit). In our example, the patient wants to conduct the e-visit by video. The scheduler must add a note when scheduling the appointment so that the provider knows how the patient wants to communicate (see step 6).
If patients select phone as their preferred method, the preferred phone number that they entered in their e-visit requests on the Patient Portal appears next to the preferred method.
The e-visit appointment type is preselected.
- Click Appointment Search.
You are navigated to the Appointment Search page. On the top right, you can see which dates, days, and times that the patient requested.
- Select a date.
- Click a time.
The New Appointment window opens.
- Complete the appointment form.
Note: Make sure you add the patient's preferred method of communication (and preferred phone number, if applicable) in the Notes/Reason text box so the provider knows how to communicate with the patient.
- Click Save Appointment.
Note: If the patient has an email address in the chart, the Send Email Confirmation to the Patient check box is preselected.
The patient's appointment has been scheduled.
Since the Send Email Confirmation to the Patient check box was selected, the patient receives an email confirmation of their appointment.
